You can review, edit, or replace this metadata at any time. All edits become the source of truth for search and filters.

How AI metadata works

  • When it runs: On upload of images or videos to their libraries.
  • What it adds:
    • Description — short, human-readable summary.
    • Labels — concise keywords for filtering and search.
  • Where it’s used: Library search, in-editor media panel and AI slide gen.
Editing a description or labels immediately updates what’s searchable.

Managing media items

When in Libraries you can use the action bar at the bottom of the screen to search for images and videos directly or click on a specific file in the grid view. The action bar will open, displaying more info about the respective file. Via the action bar you can:
  • Preview the file.
  • Rename the item.
  • Edit metadata — description, labels.
  • View usage — see decks/slides where the item is referenced.
  • Remove the file.
When removing the file it gets deleted from the library. Any references will no longer resolve and the templates placeholder media will be displayed instead.

View in use

Click on In use before removing a media file to understand downstream impact. It will show you exactly in which decks and slides the file is being used.

Description & labelling guidelines

You can edit descriptions and labels manually. As the results are being used for our smart search and context-specific AI gen, follow these guidelines:
  • Keep descriptions short and factual.
  • Standardize labels (e.g., product names, campaigns, industries).
  • Prefer nouns and clear keywords over phrases.
  • Review high-use items regularly to keep metadata accurate.
